If you used another system or a spreadsheet for leave before MSMEPulse, bring each person's balance across in one go instead of adjusting people one by one. Only Admins, and HR with company-wide leave approval, can do this.
Go to People โ Settings โ Opening leave balances, or Settings โ Import data โ Opening leave balances.
What to put in the file
One row for each person and leave type, with a heading row:
- Email or employee ID: their email in MSMEPulse, or the employee ID on their record. Invite your team first.
- Leave type: the name or code, such as Casual leave or CL. Unpaid leave has no balance, so leave it out.
- Balance (days): the days they have left, such as 12 or 6.5.
- As of date: the date that balance is correct on, after any leave taken that day. Normally the day before you start using MSMEPulse for leave.
Upload a CSV or Excel file, or copy the rows from your spreadsheet and paste them. Click Template for a file with the right headings.
Check before anything changes
The preview shows every row. Rows with problems are left out, and each one says why: no one with that email or employee ID, a leave type we don't know, a balance that isn't a number, a date in the future, or the same person and leave type twice. Fix them in your file and import it again.
You can't import your own balance. Ask another HR admin to.
How the balance is worked out
MSMEPulse adds one opening balance for each person, leave type and year. It's sized so their balance on the as-of date is exactly what your file says:
- It starts from what your leave rules give them by that date (for example, earned leave built up month by month).
- Leave already recorded in MSMEPulse up to that date is treated as part of your balance, so it isn't taken off twice. The preview tells you when this happens.
- Leave after that date, and leave still building up, works as normal from then on.
- Adjustments made by hand in MSMEPulse still count on top.
Leave is kept by calendar year, so a balance only changes the year of its as-of date.
Importing again
Importing again replaces a person's opening balance for that leave type and year. It's never added twice. Rows that haven't changed are skipped. So if you spot a mistake, fix the file and import it again.
Where to see it
Each person's page (People โ Directory, then their name) shows their leave this year. Their own Leave page shows the same balances. Each import is in the activity log, with every balance it brought across.
Undo
You can undo an import for 7 days from Settings โ Import data โ Past imports. Balances go back to how they were before it.
