Clients and projects

Adding and managing clients

Add a client with the right tax details, add contacts, and archive old clients.

A client is a business or person you do work for. Everything you do for them, including projects, invoices and payments, is linked to the client, so their page becomes the full picture.

Add a client

  1. Go to Clients and click Add client.
  2. Choose A business or A person.
  3. Enter their name and country.
  4. Fill in their tax details (see below). If you don't have them yet, you can add them later.
  5. Optionally add their main contact, the person you deal with.
  6. Click Add client.

Only the name and country are needed to start. But tax details must be right before you invoice the client.

Tax details (India)

  • Client's GSTIN: if the client is GST-registered, enter it. We fill in their state and PAN from it.
  • State: if they have no GSTIN, choose their state. It decides the GST you charge:
    • same state as you: CGST + SGST
    • a different state: IGST
  • SEZ: tick this only if the client has told you they are an SEZ unit or developer. Supplies to them are zero-rated.
  • Clients outside India need no Indian tax details. Your services to them are exports.

Tax details (Singapore)

Add the client's UEN and, if you know it, their Peppol ID for InvoiceNow. Overseas clients usually receive zero-rated international services.

"You already have this client"

We stop you adding the same client twice, matched by name, GSTIN or UEN. Open the existing client instead. If it was archived, tick Show archived clients and Restore it.

Contacts

On the client's page, click Add next to Contacts. One contact is the main contact: invoices and reminders go to them unless you choose someone else.

Archiving

Archive clients you no longer work with: โ‹ฏ โ†’ Archive client. They disappear from lists but nothing is deleted. You can't archive a client with open projects; complete or cancel the projects first.

The client page: everything in one place

Open a client to see where you stand with them, on one screen:

  • The numbers across the top:

    • Still to be paid: what's outstanding, out of everything you've billed them.
    • Overdue: the part that's past its due date.
    • Pays in: how many days they usually take to pay, compared with their payment terms. It shows in red if they pay late.
    • Active projects and open deals.
    • Last contact: the last call, meeting or email you logged.
  • Projects, each with two bars:

    • Hours: hours logged against the hours budget.
    • Budget: work done (hours at each person's billing rate) against the budget amount, with how much has been invoiced.

Bars turn amber at 80% and red when over budget. Completed projects are under Past projects.

  • What they owe, by age: unpaid amounts split into not yet due, 1โ€“30, 31โ€“60, 61โ€“90 and over 90 days overdue.

  • Invoices and Payments received, including TDS they deducted.

  • Proposals and deals for the client.

  • Notes and activity: log calls, meetings, emails and notes, and set follow-up reminders. Invoices, payments, proposals and projects are added to the timeline automatically, so you can see the whole history. Due follow-ups also appear at the top of the Pipeline page.

You only see the parts your role allows. For example, someone without access to invoices won't see the money sections.
