Open Payroll in the menu. Payroll is an add-on: an Admin switches it on in Settings โ Modules. Only people with payroll access can see salaries.
Before your first run
- Settings: set your pay day. In India, add your PF establishment code and ESI employer code. In Singapore, add your CPF submission number (CSN), and any Foreign Worker Levy.
- Employee records: in People, check each person's joining date and tax details: PAN and UAN in India; NRIC, residency status and Self-Help Group fund in Singapore.
- Salaries: on the Salaries tab, set each person's monthly salary. In India you can start from a monthly gross and MSMEPulse suggests the components (basic, HRA, allowances), which you can change. A salary change applies from the month you choose; earlier payslips keep the old salary.
Each month
- New payroll run: choose the month. Everyone with a salary is included.
- Adjustments: add one-off changes for this month only: bonuses, arrears, recoveries, extra unpaid days or overtime hours. Unpaid leave and absences from People are picked up for you.
- Calculate: MSMEPulse works out gross pay, deductions and net pay for everyone. In India: PF, ESI, Professional Tax, LWF where it applies, and TDS on salary. In Singapore: CPF, SDL and Self-Help Group funds. If someone can't be worked out (a missing PAN, say), the run tells you who and why.
- Mark reviewed: once you've checked the figures.
- Approve and release payslips: someone with approval rights approves. Each person gets their payslip in My payslips and an email.
- Pay, then Finalise: download the files, pay salaries and statutory dues, then finalise. A finalised run is locked.
The run's progress shows at the top, and its History records who did each step, and when.
Files
When a run is approved or finalised, download:
- India: the bank salary file, EPFO ECR, ESIC contributions, the Professional Tax register and the LWF register.
- Singapore: the bank GIRO file and the CPF contributions file.
Check each file against the portal's own validation before your first live upload.
Corrections and leavers
A finalised run can't change. For a correction, start an off-cycle run for the people affected, or adjust next month. When someone leaves, a full-and-final run settles their last pay.
Year-end
The Year-end tab gives you, for India, the Form 24Q quarterly TDS data and Form 16 Part B; for Singapore, the IR8A data for the Auto-Inclusion Scheme.
Statutory due dates
The Compliance calendar shows payroll due dates (in India, TDS on salaries by the 7th and PF and ESI by the 15th; in Singapore, CPF by the 14th) with reminders before each one. Rates, ceilings and due dates change from time to time: check with your adviser if something looks different from what you expect.
