Money out

Expenses, claims and vendor bills

Record what the business spends, claim back what you paid yourself, and track bills from suppliers, including MSME payment dates.

Open Expenses in the menu.

Claiming money back

Paid for something for work yourself? Choose Claim an expense, fill in what it was, then add a photo of the receipt. Click Send for approval.

  1. Your manager approves it, or returns it with a note saying what to fix.
  2. Finance approves it.
  3. Finance pays you, or adds it to your next salary as a tax-free reimbursement. You get an email at each step.

If you don't have a manager set, your claim goes straight to finance. Nobody can approve their own claim.

Company expenses

Finance and managers record spending with Record expense. Add the vendor's GSTIN (India) or the GST code (Singapore) so the GST can be claimed back. Tie it to a project to see what the project really costs. Tick Bill this to the client and it appears when you next create an invoice for that client, with any markup you set.

Vendor bills

Under Vendor bills, enter each supplier's bill with its lines. MSMEPulse works out the GST from the vendor's state, tracks what's still to pay, and records TDS you deduct when paying (for example 194C or 194J).

MSME vendors (India)

Save the vendor's Udyam number and category. For micro and small enterprises the law says pay within the agreed terms, no later than 45 days after you accept the work, or 15 days with no written agreement. MSMEPulse sets that date on each bill, warns you as it gets close, and lists everything on Reports โ†’ MSME payments. Late payment means interest at three times the RBI bank rate, and under section 43B(h) the expense isn't tax-deductible until it's paid.

Reports

  • Spending: by category, project and month.
  • Input GST (India): every purchase with the vendor's GSTIN and the CGST, SGST and IGST you can claim. Check it against GSTR-2B before filing.
  • GST F5 (Singapore): box 5 (taxable purchases) and box 7 (input tax).
