Every project has a Documents tab: the list of what you need, from whom and by when. Projects started from a template come with the checklist already filled in; you can add, change or remove items.
Each document
- Who provides it: the client, or your own team.
- When it's due: a date, often linked to a milestone.
- Compulsory or not: compulsory documents must be verified before their milestone can be completed.
- Status: Pending, Received, Verified or Not applicable (with a reason).
Collecting documents from clients
Documents the client provides appear in their client portal, under the project, with an upload button next to each one. When they upload a file, it's marked Received, and you'll see it on the project's Documents tab.
You can also upload a file yourself, for example one that arrived by email.
Checking them
Open a received document, check it, and mark it Verified. If it isn't right, mark it Pending again and let the client know what's needed. "Received" means it arrived; "verified" means someone checked it's complete and correct.
Overdue documents
Overdue documents show on the project, and the Project budget vs actual report shows overdue compulsory documents for every project, so you can chase the right clients.
Completing a milestone
A milestone can't be completed while compulsory documents linked to it aren't verified. A manager can complete it anyway, with a reason, which is recorded in the activity log.
