Time and invoicing

Recurring invoices and retainers

Set up an invoice once and have it raised every week, month, quarter, half-year or year.

For monthly retainers, annual maintenance contracts and other regular fees, set up a schedule and the invoice is raised for you every period.

Set one up

  1. Go to Invoices โ†’ Recurring โ†’ New schedule, or open a project and choose Bill this every month from its menu.
  2. Choose the client (and the project, if it's for one), and add the lines. Type {period} in a line to show the period it's for: "Retainer for {period}" becomes "Retainer for March 2027", or "Q2 2027" for a quarterly schedule.
  3. Choose how often, the first invoice date, and optionally the last one by date.
  4. Choose what happens each period:
    • Create a draft for me to check: the invoice waits in Invoices as a draft.
    • Issue it: it's numbered and issued.
    • Issue it and email the client: issued and emailed with the PDF attached.
  5. Click Set up schedule.

The lines are checked when you set the schedule up, so a missing SAC code or tax setting shows now, not on the day the invoice is due.

Each period

Invoices are raised on their date, in your workspace's timezone. If a month-end date doesn't exist (31 February), the last day of the month is used. If MSMEPulse couldn't run for a while, it catches up with one invoice per missed period.

Pause, resume or stop

Open the schedule:

  • Pause stops new invoices. Resume carries on from the next period; periods missed while paused are skipped.
  • Raise the next one now creates the next invoice today, for the period it was due for.
  • Delete removes the schedule. Invoices it raised are kept.

If an invoice couldn't be raised (for example, the client was archived), the schedule shows why.
