An admissions consultancy runs hundreds of small, deadline-heavy projects at once. Each student has their own shortlist, application deadlines, test dates, essays and documents, and anxious parents who want updates. Spreadsheets and WhatsApp groups don't scale.
One file per student
Each student's file should show:
- the shortlist of universities and courses, with application deadlines;
- test plans and scores;
- essays and statements, with draft status;
- documents: transcripts, passport, recommendation letters;
- applications submitted and decisions received.
Work backwards from deadlines
For each university, plan backwards from the deadline: final essay, recommendation letters, test scores sent. Review every student's next deadline weekly.
Collect documents early
Transcripts and recommendation letters take time. Request them at the start, with dates, and track what's arrived.
Keep families informed
Regular, short updates reduce anxious calls: what's been done, what's next, what's needed from the student. A shared view of the file is even better.
Then the visa
After an offer, the student visa is a project of its own: admission letter, financial documents, application, biometrics and interview. Treat it with the same discipline.
Fees
Many consultancies charge a registration fee and further instalments at application and offer. Invoice each stage as it's reached.
How MSMEPulse helps
MSMEPulse includes overseas university admission and student visa templates with each stage as a milestone, tasks for essays and applications, and the student's documents on a checklist they complete through the portal. Each student's progress is visible on one board, and fees are invoiced by stage.
