The firm

A team of eight runs monthly payroll for about 40 client companies, from five employees to two hundred, and helps them with HR policies.

What made the work hard

  • Inputs from clients arrived late and changed after approval.
  • Statutory due dates for PF, ESI, TDS and professional tax were tracked by memory.
  • There was no record of who approved each month's payroll.

How they set up MSMEPulse

  • Chose HR & Payroll Outsourcing at signup, with monthly payroll templates for India and Singapore, TDS quarterly returns and HR policy handbooks.
  • Started a monthly payroll project for each client, with a fixed input cut-off.
  • Put the client's attendance and approval on the project checklist.
  • Ran the firm's own staff payroll in MSMEPulse too.

The templates for HR & Payroll Outsourcing in MSMEPulse: TDS quarterly returns, Monthly payroll (India), Monthly payroll and CPF (Singapore), HR policy handbook, Contract staffing (monthly), Employment Pass application, Employment visa and FRRO registration.

A typical month

Each month opens with a payroll project per client. Clients upload attendance and changes by the cut-off; the team runs payroll, the client approves in the portal, and salaries are paid. The board shows TDS due by the 7th and PF and ESI by the 15th for every client. The monthly fee, per employee, is invoiced once payroll closes.

What changes

  • A fixed cycle with a cut-off and written approval for every client.
  • Statutory payments tracked against due dates across all clients.
  • A clear record of inputs, approvals and payments if questions come later.
